Fabric Procurement from RFQ to Shipment

Start with a complete RFQ package

Include product usage, estimated monthly quantity, preferred yarn content, finishing requirements, and packaging method. Attach a target inspection standard so suppliers know exactly what to quote against.

Score quotes fairly

Compare unit price, dye consistency history, lab test support, and response time side by side. The lowest price is not always the best option if rejection cost is high.

Convert quote to contract

Use a contract brief that includes approved sample window, shipping method, tolerance level, and payment milestones. Add a rework clause and a clear timeline for defect correction.

Quality sign-off flow

Run pre-production checks before long runs. Then verify woven/knitted structure, weight consistency, strength, and color tolerance against the accepted sample set. Keep photos and lab data in one shared folder for auditability.

Prepare for shipment

Require final packing photos, carton counts, and shipment documents before vessel pickup or freight pickup request. A single last-mile checklist lowers delays from missing paperwork and packing errors.

Final check

Record deviations, corrective action, and supplier response time after each order. This builds your own sourcing scorecard and improves the next procurement cycle.
